Run the door at an event

Check ticket holders in and sell tickets at the door, from one screen your front desk can use.

Before you start

This needs Events & Event Ticketing switched on. An admin turns it on in Settings, under Features.

  1. Step 1: Pick the night

    In the admin menu: Front desk, then Event Desk

    The Event Desk opens on "Today". Use the arrows or the date box for another day, then tap the event. Each event shows how many are checked in against how many tickets are sold, and its capacity if it has one.

    Front desk staff can use this screen as well as admins. On a phone it splits into a "Check-in" tab and a "Walk-up sale" tab.

  2. Step 2: Check people in

    In the admin menu: Front desk, then Event Desk

    Find the buyer with "Search name or email" and tap "Check in". A buyer holding several tickets also gets "Check in all". To undo, tap "Checked in", or "Undo one" for a group.

    On an event that runs several days, check-ins count for the day the desk is showing, so each day starts from zero.

  3. Step 3: Sell a ticket at the door

    In the admin menu: Front desk, then Event Desk

    In "Walk-up sale", look up an existing customer or type the buyer's "Name" and "Email"; both are required. If the event sells more than one ticket type, pick one under "Ticket type". Set "Quantity" (up to 10) and tap how they paid.

    Card payments go to your default card reader and need a price above zero; for a free event, use a method such as "Comp". The tickets land on the roster straight away.

    A ticket type whose sales window has closed is refused unless you turn on "Sell a closed ticket type" for that one sale.

  4. Step 4: Give a seat back

    In the admin menu: Front desk, then Event Desk

    "Void seat" ("Void one" for a group) and then "Release seat" puts that seat back on sale. It moves no money, so it does not refund the buyer.

  5. Step 5: Look up a roster later

    In the admin menu: Schedule, then Events

    On the event's row, click "View roster", or "Roster" at the top of its editor. It lists every buyer and how many are checked in, day by day for a multi-day event. It is read-only: check people in from the Event Desk.
