Before you start
This needs Registration Form switched on. An admin turns it on in Settings, under Features.
Step 1: Know what arrives here
In the admin menu: Front desk, then Registrations
Your registration form, its wording and the agreement people sign are set up for you by StudioMomo; there is no screen to edit them yourself. The form offers your weekly classes, and people sign in to an account before they submit it.
Every submission lands on this screen. A child form names a responsible party and each dancer with their classes; an adult form is one person registering themselves.
Step 2: Find a submission
In the admin menu: Front desk, then Registrations
"Status" starts on "Pending". Switch it to "Approved", "Declined" or "All" to see the rest, and use "Kind" to show only "Child" or "Adult" forms. Type in the search box to find someone by name or email.
Each row says whose move it is: "Pending review" is yours, "Invoice sent" is waiting on the family, and "Paid, approving" is about to approve itself. "Export CSV" downloads the list you are looking at.
Step 3: Check who gets a client record
In the admin menu: Front desk, then Registrations
Click a row to open it. On a child form, tick the box for a dancer who has their own email address and fill in "Customer email"; it must differ from the guardian's and from the other dancers'.
With Friends & Family Sharing on, a dancer with no email of their own gets a client record under their guardian instead. That record needs a birth date: if the family left it blank, enter it and click "Save" before you send the invoice.
Step 4: Send the invoice
In the admin menu: Front desk, then Registrations
Click "Send invoice". It drafts the registration fee, plus tuition per class on a child form, addressed to the person responsible. Check it and click "Save and send".
When the invoice is paid, online or recorded by you, the registration approves itself. Sending invoices needs Invoicing turned on in Features.
Step 5: Approve or decline
In the admin menu: Front desk, then Registrations
"Approve" lists the client records it will create and asks you to confirm. It cannot be undone: the signed agreement is saved as a PDF and the family is emailed that they are approved.
"Decline" creates no records, voids any open invoice and emails the family. Anything you write in "Reason for the family (optional)" goes in that email; "Review notes" stay private to the studio.
