Send an invoice

Before you start

This needs Invoicing switched on. An admin turns it on in Settings, under Features.

  1. Step 1: Choose what you can bill for

    In the admin menu: Setup & help, then Settings, then Invoices

    Under "What you can put on an invoice", switch on the kinds of thing you bill for: "Private lesson packs", "Shop products" (class cards and merchandise; memberships cannot be invoiced) and "Fees and items".

    Fees and items are your own named prices, like a registration fee. Click "Add", give it a "Name" and a "Price", and click "Save". They bill only; paying one grants nothing, and they never appear in your shop.

  2. Step 2: Write the invoice

    In the admin menu: Money, then Invoices

    Click "New invoice". Under "Bill to", search for the customer. Under "Lines", search for a pack, a product or a fee, or type anything and bill it as a custom line. Each line says what paying it does: a product or pack is added to their account when they pay, a custom line only bills.

    Add a "Memo" if you like; it shows on the invoice. Choose "When payment is due", from "Right away" to "Within 30 days", or a specific date.

  3. Step 3: Send it

    In the admin menu: Money, then Invoices

    Click "Save and send" and confirm with "Send it". The invoice gets its number and the customer is emailed a link to pay by card online. "Save as draft" keeps it to finish later. A sent invoice cannot be taken back, only voided or written off.

    The customer pays on a page of your own site, through Stripe, so online payment needs Stripe connected.

  4. Step 4: Follow up

    In the admin menu: Money, then Invoices

    "Outstanding" and "Overdue" at the top add up what you are owed. Click an invoice to see it, and whether the email was delivered or opened.

    Reminders go out on their own 3, 7 and 14 days after the due date, and stop once it is paid. "Copy pay link" copies the link to send another way, and "Resend" emails it again.

  5. Step 5: Take payment at the desk, or close it

    In the admin menu: Money, then Invoices

    "Record payment" marks cash, a check or another payment you already took; it settles the invoice and adds anything on it to their account. To take a card, send the pay link.

    An admin can "Write off" an invoice you will stop chasing (the customer can still pay it) or "Void" one that is not owed. Front desk can write, send and collect invoices but not void or write them off.
