Look up and help a client

Find a student, see their passes and history, sell to them, and fix their balance, membership or details.

  1. Step 1: Find a client

    In the admin menu: Front desk, then Clients

    Type into "Search by name or email..." and click their row to open them. "Status" narrows the list by membership, such as "Past-due", and "Show Archived" includes archived clients.

  2. Step 2: Add a client

    In the admin menu: Front desk, then Clients

    Click "Add Client". "First Name", "Last Name" and "Email" are required; "Phone Number", "Date of Birth" and "Notes" are optional. Click "Add Client" to save.

    "Date of Birth" matters only for passes shared with an age range. Leave it blank if you do not know it.

  3. Step 3: See their passes and history

    In the admin menu: Front desk, then Clients

    "Class Cards" lists each card with what is left and when it expires. "Memberships" lists each membership and its status.

    "Recent Activity" shows their check-ins and reservations, and "Purchase History" what they bought.

  4. Step 4: Sell them something

    In the admin menu: Front desk, then Clients

    Click "Sell" to open the Quickdesk till for this client. "Sell class card" and "Sell membership" in their cards do the same. An archived client cannot be sold to.

  5. Step 5: Fix a balance or a membership

    In the admin menu: Front desk, then Clients

    Click "Adjust" on a class card to "+ Add" or "- Subtract" credits, change the "Expiry Date", or both. A "Reason" is required.

    On a membership, "Cancel" then "Cancel Membership" stops it at the end of the period already paid. "Update card" changes the card on file. A membership billed outside StudioMomo has to be cancelled in that system.

  6. Step 6: Keep notes and edit details

    In the admin menu: Front desk, then Clients

    "Add Note" keeps a note on their record. "Edit" changes their details; click "Save Changes".

    Only an admin sees the Role & Access card, can sell a "Private lesson pack", and sees "Refund" on a one-time purchase. Refunds also need StudioMomo to turn them on for your studio.
