Check students in at the front desk

Find a student in Quickdesk, tick today's classes and check them in against their pass.

Before you start

This needs Quickdesk switched on. An admin turns it on in Settings, under Features.

  1. Step 1: Find the student

    In the admin menu: Front desk, then Quickdesk

    Type a name or email into "Search customer..." and pick the student from the list. Their pass shows beside their name: "Member" for a membership, or how many credits they have.

    If they hold nothing of their own it says "No pass of their own. A shared one may still cover them: pick the class." Someone who has shared a pass with them can still cover the class.

    Someone new? When the search says "No customers found", click "Create new customer", fill in "First Name", "Last Name" and "Email", and click "Create Customer".

  2. Step 2: Tick their classes

    In the admin menu: Front desk, then Quickdesk

    The "Check-in" list shows today's classes, each with how many spots are taken. Tick every class they are taking. A full class cannot be ticked.

    The list follows the location you have selected in the admin. On a phone, Quickdesk opens on the "Check-in" tab.

  3. Step 3: Check them in

    In the admin menu: Front desk, then Quickdesk

    Click "Check In". The button waits while "Checking passes..." shows, and stays greyed out if their passes do not cover the classes, with the reason beside it.

    A message names who was checked in and what it used, and the screen clears for the next person. A "Waiver needed" warning means a child was let in without a signed waiver.

  4. Step 4: When a check-in is refused

    In the admin menu: Front desk, then Quickdesk

    If you set a check-in window, Quickdesk refuses a check-in outside it and says so, for example "Check-in has closed for this class".

    To record a latecomer anyway, add them from the class roster on Attendance, which is not held to the window.
