Before you start

This needs Series switched on. An admin turns it on in Settings, under Features.

  1. Step 1: Make a draft term

In the admin menu: Schedule, then Terms

Click "New term". Give it a "Name", a "First day" and a "Last day", and add each week you are closed with "Add closure". "Enrollment closes" is the last day a parent can buy; leave it empty to keep selling while a slot still has classes to come. "Ages counted on" is the day a child's age is worked out for the class type's age range. If you charge a yearly registration fee, choose it under "Registration fee": every pass of the term brings it to checkout, once a year per student.

Click "Add a slot" for each class you teach every week: its "Class type", "Day", "Starts", "Ends", "Room", "Instructor" and "Capacity". Each slot shows how many classes it has after the closures and its price, which is the class type's rate times that count. Type a "Rate a class" only when this slot costs something different.

Click "Create draft". A draft is not on the schedule and not on sale, so you can change anything, or delete it.

  2. Step 2: Open enrollment

In the admin menu: Schedule, then Terms

When the draft is right, click "Open enrollment" on its row and confirm. Every class of every slot goes on the schedule, and each slot's pass goes on sale, all at once or not at all.

Open a term on or before its first day. Once the first day has passed it cannot be opened: move its "First day" to today or later, then open it. If a slot's dates clash with classes already on the schedule, nothing is opened and the dialog lists each clashing class, day, time and date; move or cancel those classes, then click "Try again".

  3. Step 3: What parents see

An open term is listed on its program's page, one row per class type with its ages, days and the lowest price a parent can pay now. A term's passes are not shown as cards in your shop. A parent picks a class, then a day, and enrolls a child; a parent who joins after the first class pays only for the classes left.

Set each class type's Ages in Class Types (for example 8 and an empty second box for 8 and up). A signed-in parent can then choose a child and see which classes fit, counted on the term's Ages counted on day, and online checkout refuses a child outside the ages. A class type with no ages fits every child, even if its name says otherwise.

  4. Step 4: Change an open term

In the admin menu: Schedule, then Terms

After it opens, a term's dates, closures, sibling discount and each slot's class type, day, time and rate are fixed, because parents paid for those classes; the editor shows them greyed out. You can still rename it, change "Enrollment closes", "Ages counted on" and "Registration fee", change a slot's room, instructor or capacity, and add a slot, then click "Save changes". A slot added after opening counts its classes from today.

Use "Rosters" on the term to see who is enrolled in each slot.

  5. Step 5: Start the next term

In the admin menu: Schedule, then Terms

Click "Copy to next term" on the term you are running. Give the "New term name", "First day" and "Last day", add the new term's closures with "Add closure", and click "Copy to new draft". The copy is a draft with the same slots and any rate you typed; each slot's price is worked out again from the new dates.
